Thanks to the Contract Management module, you will prepare the templates of contracts, annexes or reports. Templates consist of a fixed part (i.e. fixed entries) and variable fields which will be filled with data from a specific procedure. A contract can automatically be filled with e.g. supplier’s data, scope of delivery, remuneration or payment date. You will thus reduce the time needed to prepare contracts and eliminate potential errors when drafting them.
As part of the solution, acceptance processes are in place for contracts and their appendices related to a given procedure. Thanks to the versioning of documents, work in the process on the latest document version, as well as the possibility to have an insight into any of the previous versions are ensured. The solutions applied document actions taken in the process of contract acceptance in a systematic fashion.
Individual versions of contracts are stored in an electronic repository of documents. The archive supports registration, circulation, storage and archiving of documents. The archive is equipped with a search engine and a contract browser thanks to which quick access to the necessary version of documents is possible. Access to contracts is limited by the adopted rights, which ensures the security of data contained in contracts. A history of tasks performed on a contract document is also available; an audit of archive conformity is also possible.
